The Administrator is responsible for attendance setup. It can be either a HERON Administrator or a CLIENT´S Administrator depending on the agreement.
Attendance settings allows employees to display their work time, create requests, close month and managers to approve requests, close month of subordinates or for example, display some overviews.
Administrators must set up those partial settings in HERON:
- create shifts & calendars – set up the distribution of working hours during a day & the distribution of those days in a week/month
- create attendance activities – activities like vacation, doctor visit, sick day, home office etc.
- import / add employees and send them welcome notifications – only active employees that are not deleted, not before the employment date, not after the end of employment, not out of evidence – can create attendance requests
- add permissions to employees / set up default permissions – this allows employees to access certain functionalities of HERON
- assign a calendar to employees – via import of changes – this setting allows employees to create requests during their individual working time
- upload quota (you can setup default quota, import quota in bulk) – the amount of days/hours an employee can take from a selected activity type, for example 20 days of vacation
- open a new year – it means to assign calendars, allow employees to create attendance requests, default quota can be added, too
- create teams – teamleaders/managers approve attendance of other subordinates in the team
- out of evidence setup – types of OOE and conditions
Other attendance settings – this setup might be necessary only for some companies:
- set up rules for overlapping activities – in case that some activities can be taken simultaneously
- create groups – grouped activities that will be assigned only to certain employees, for example based on their employment type
Please note that only employees with special permissions can use those functionalities.
